Second: Purpose of collecting personal data
- Personal data (Full Name, ID number, mobile number, email, date of birth) is collected in order for the user to be registered to attend the Global Smart City Forum.
- Job information (Place of work, position) is collected to know people who are experts and interested in the field.
- Personal data (nationality, place of residence, gender) is collected for statistical purposes that will be anonymous when published.
- The following personal data (full name, job title, barcode containing mobile number or email) will be printed on the badge to facilitate communication within the Global Smart City Forum.
- The purpose of the personal photo is to match the data and verify the identity of the visitor during the entry process.
Section Three: Data Collection Methods
The data provided by the data Subject during registration on (Webook) platform is collected and provided to the Global Smart City Forum platform and is not shared with any other entities.
Section Four: Use of Personal Data
We use personal data that has been collected directly or indirectly for the purposes of completing the registration process, improving the user experience, and printing the primary information on the badge to facilitate communication within the Global Smart City Forum.
Section Five: Storing and Destroying Personal Data
Personal data is stored on servers in Saudi Arabia at the National Information Center, safeguarded by state-of-the-art technology adhering to the policies and controls set by the National Cybersecurity Authority and international standards. This ensures prevention of unauthorized access and minimizes cyber risks. Subsequently, the data will be destroyed within three years from the date of storage in a secure manner through which data cannot be viewed nor retrieved, in accordance with the policies established by the National Information Center.
Section Six: Legal Basis for Collecting and Processing Personal Data
The legal basis is the consent of the personal data Subject. The Subject can withdraw consent at any time, unless there is another legal basis. To do so, one can contact the Data Management Office at the Saudi Data and AI Authority (SDAIA) Email:

Section Seven: Rights of the Personal Data Subject
- Right to know :
The personal data Subject has the right to know how we collect their data, the legal basis for collecting and processing data, how data is processed, stored, and destroyed, and with whom the data will be shared. You can browse all the details through the Privacy Policy (this policy), or you can contact us using the means of communication described in Section Nine.
- Right to access personal data:
The personal data Subject has the right to request a copy of their personal data via the email provided in Section Nine. It will be provided, free of charge, within [seven business days], through [the means through which the personal data will be provided to the Subject]
- Right to have personal data corrected:
The personal data Subject has the right to request the correction of their personal data that they consider inaccurate, incorrect, or incomplete via [the email provided in Section Nine]. The request will be reviewed and updated within [seven business days]. - Right to destroy personal data:
The personal data Subject has the right to request the destruction of their personal data in certain circumstances (unless there is a legal provision specifying a specific period of retention or contractual requirements).
- Right to withdraw consent to the processing of personal data:
The personal data Subject can withdraw consent to the processing of their personal data (at any time) unless legitimate purposes require otherwise. (Such as the existence of another regulatory basis in addition to the consent of the personal data Subject).

There is no sharing or exchange of personal data collected through SDAIA's website with third parties.

Section Eleven: Complaints and Inquiries
In the event of some complaints or inquiries related to the Privacy Policy or the handling of personal data, the website administration can be contacted via the following email (info@globalsmartcityforum.org) If no response is received within seven business days, the complaint or inquiry should be submitted to SDAIA’s Data Management Office (Dmo@sdaia.gov.sa) If the problem is not resolved or there is no response within seven business days, it should be submitted to the National Data Management Office (NDMO) via email:

Section Twelve: Privacy Policy Updates
- The Privacy Policy was last updated on 9/1/2024.
- The Website Administration reserves the right to add or change any of the provisions of the Privacy Policy. The website administration will notify the data Subject of this. The Website Administration has the right to terminate the data Subject’s account if they do not accept any change in the Privacy Policy.
- Arabic is the language used to apply the terms and conditions. If there is a dispute in the interpretation of any text in another language, the Arabic text shall prevail.
